Record keeping and reporting for employers

What records should I keep as an employer of apprentices or trainees ?

As an employer you are legally required to keep certain records and reports relevant to the apprenticeship/traineeship. These include:

  • the approval letter received from Skills Tasmania on registration of the apprenticeship/traineeship
  • records of time worked and wages paid to the apprentice/trainee
  • an updated copy of your apprentice's or trainee's training plan
  • your apprentice's/trainee's attendance details at the registered training organisation (RTO)
  • a copy of the industrial award under which your apprentice/trainee is employed.
  • all correspondence from Skills Tasmania relating to each apprentice and trainee

What should a training plan look like and who is responsible for making sure it's kept up to date?

Every apprentice and trainee must have a training plan that outlines exactly what training needs to be undertaken during the  apprenticeship or traineeship, where that training will occur and when the training and/or assessment will take place.

The Tasmanian Traineeships and Apprenticeships Committee (TTAC) has a policy that determines what a training plan should consist of and how often it should be updated. This policy; Policy 32 - Minimum Requirements for Training Plans is available on the TTAC page.

If the employer, trainee or apprentice is unsure about anything to do with the training plan you need to contact your registered training organisation (RTO) to discuss your concerns.
