As an employer you are legally required to keep certain records and reports relevant to the apprenticeship/traineeship. These include:
- the approval letter received from Skills Tasmania on registration of the apprenticeship/traineeship.
- a copy of the training contract.
- a copy of the training plan.
- records of time worked and wages paid to the apprentice/trainee.
- an updated copy of your apprentice or trainee’s training record.
- your apprentice/trainee’s attendance details at the registered training organisation (RTO).
- a copy of the award or workplace agreement under which your apprentice/trainee is employed.
- all correspondence with Skills Tasmania.

The training record
During the course of the apprenticeship/traineeship, the employer and training provider must document the apprentice/trainee’s on- and off-the-job training progress made and skills and knowledge attained in the training record.
The RTO is to provide an appropriate training record to the apprentice/trainee. There is no set format for a training record, it may be kept in any form the RTO considers appropriate, e.g. in booklet form or on a computer disc.
The training record is kept by the apprentice/trainee. At reasonable intervals, of not more than 3 months, you must ask your apprentice or trainee to produce the training record so that you can record the particulars of the on-the-job training completed. The RTO will record the off-job-training completed.
Compare the training record to the training plan to monitor your apprentice or trainee’s progress during the course of the training contract.
Check regularly with the RTO to make sure that your apprentice or trainee is attending the off-the-job training and is making satisfactory progress and completing assignments or assessment tasks.
